Job title: Executive Personal Assistant
Location: Dubai, UAE
The ideal candidate will be professional, highly-skilled, quick thinking, exercise discretion and judgment, highly efficient, intensively attentive to detail, extremely organized, and disciplined.
You will be responsible for team schedules, ensuring high-quality coverage and performance for all daily/weekly tasks and responsibilities. Experience with travel, financial tracking, and technology is recommended.
Responsibilities:
- Day-to-day management of multiple calendars; appointment scheduling, confirmation, and coordination of all logistics; communication with office staff to keep cohesive schedules
- Maintaining contacts and emailing.
- Organize business expenses.
- Maintenance of tracking databases, subscriptions, and expenses.
- Disseminate correspondence (mail and electronic emails) and information to appropriate team members.
- Implement and manage physical and electronic filing systems.
- Ad hoc projects for the Managing Director.
- Oversee company employees’ holiday leaves.
- Manage to secure new office premises and liaise with the relative authorities.
- Manage company licensing in different jurisdictions.
- Work with company accountants ensuring VAT filings each quarter.
- Scheduling regional travel for the MD’s business travel.
Qualifications:
- Bachelor’s Degree is required.
- 3 – 5 years of experience as an EA/PA to C-Level executives.
- Excellent command of spoken & written English and Arabic would be advantageous.
- Trustworthy and a leader and team player.
- Proficient in Microsoft applications, primarily Word, Outlook, and Excel.
- Proficient in Video Conferences software, set-up, and scheduling.
- Understanding and interest in the Financial Services industry would be advantageous.
