This is a new position, and you’ll play an integral role in designing it. The team is engaged in process improvement and will be shifting some integral duties to this position.

You’ll be the welcoming face at the entrance, the smile on the phone and a key player for the team.

Qualifications

Ability to proficiently utilize computer programs and company database systems, including MS Office, internet and e-mail systems

High school diploma or GED and one (1) year of experience working in a Receptionist, Administrative Support, and/or Customer Service role within an office environment

Responsibilities

Manage the front entrance maintaining the reception area and utilizing excellent customer service skills while greeting customers and vendors face-to-face or via phone.

Assist with and help to coordinate events and trainings

Enter new bid opportunities and help to keep bids, estimates and job information up to date in the system.

Assist in coordination of bid activities to assure timely communication between all key team members. Help to assure that all information is compiled in a timely manner so that bids are completed on time for submission.

Organize Job Spec Sheets as needed for bid and project work

Help track material deliveries and alert necessary team members when delays are discovered.

Maintain required office supplies, materials, equipment and software products

Coordinate and monitor IT requirements

Manage all vehicle registrations

Coordinate and monitor use of conference room and other shared spaces and help to keep it all clean and orderly

Perform administrative duties including but not limited to mail, faxes, filing, preparing meeting materials/handbooks, organizing digital material, expense reports, scheduling meetings and conference rooms, etc

Engage in customer follow up when asked
