Job Description

Key focus of the role:

  • Project management and coordination of key finance reporting cycles being year-end, interims, quarterly and monthly reporting, including both internal and external reporting processes.
  • Stakeholder management and engagement to ensure timely delivery of reporting outcomes.
  • Management and coordination of the end-to-end reporting suite typesetting processes.
  • Management and coordination of small to medium projects within the Group Reporting & Insights team, and the impacts of external projects within the Group Reporting & Insights team.
  • Assistance with general team management and administration functions

Key focus of the role:

  • Management and coordination of small to medium projects within the Group Reporting & Insights team, and the impacts of external projects within the Group Reporting & Insights team.

Role Description & Key Result Areas:

Planning

  • Develop and agree detailed scope and plans for reporting cycles/project deliveries.
  • Manage reporting cycle/project scope changes and impacts and obtain suitable sign-offs where required.

Progress tracking

  • Manage the delivery of the required reporting cycle/project outcomes and deviations to plan.
  • Accurately log risks, actions, issues and decisions and follows up on open items.
  • Chair reporting cycle/project meetings, compile meeting minutes, follow up on open actions and updates project logs.
  • Manage the reporting cycle/project risks, including resourcing risks and the development of contingency plans.
  • Appropriately escalate key risks/issues and/or initiate corrective action where necessary.
  • Coordinate and facilitate regular reporting cycle status/project update meetings.
  • Prepare reporting cycle/project progress reports.

Stakeholder Management

  • Proactive communication to ensure visibility of reporting cycle/project status and the resulting impact to GR&I and wider Old Mutual stakeholders.
  • Ensure buy in / appropriate sign-off from key stakeholders at different stage gates or milestones.
  • Direct and motivate the reporting cycle/project teams to ensure successful delivery within scope, time, cost and quality agreements.
  • Ensure project business cases are kept up to date and customer sign offs are obtained where required.

Budget Control

  • Manage project budgets to ensure that costs are controlled and the savings/benefits of the project are appropriately tracked against target.

Typesetting / Third-party providers

  • Manage and coordinate the end-to-end typesetting processes for the full suite of reporting cycle documents. This will include:
    • Coordination of contracting/RFP processes for third party typesetting service providers.
    • End-to-end Project management of third-party service provider deliveries in accordance with the agreed specifications and quality requirements.
    • End-to-end Project management of GR&I inputs into these processes.
  • Coordination of contracting/RFP processes for other reporting cycle/project third party service providers and end-to-end project management of their impact on the reporting cycle/project processes.

Team management and administration

  • Assisting with overall GR&I team management and administration as required, supporting both the GR&I Coordinator/Business Partner and GR&I Strategic Business Partner.

Personal Effectiveness

  • Experience managing and coordinating finance reporting cycle and typesetting processes.
  • Experience managing multiple projects and stakeholders.
  • Proficient in MS Office, Project, Planview, and/or Teams planner.

Qualifications and experience:

  • Bachelors Degree or an equivalent of 3-5 years’ experience in project management.
  • Accredited Project Management courses a requirement
  • Experienced in utilizing project management tools.
  • Experience in Agile methodologies will be advantageous.
  • Previous OM Group Financial Reporting experience will be advantageous.
  • Previous reporting suite typesetting management experience will be advantageous.
  • Attention to detail.
  • Good written and verbal communication skills.
  • A flexible approach and ability to adapt.
  • Ability to work under stress and to tight deadlines.
  • Strong inter-personal skills and conflict management skills.
  • Strong communication skills.
  • Must be able and willing to work after-hours/weekends during the key reporting cycles / when working towards key project milestones/deliveries.
